RCC Google Apps Mail Account Tutorial
Mail Overview
Figure 1.1 shows the mail interface when you logged in toRCC Google Apps Mail account.
Inbox - The area surrounded by the red box is your inbox which would list all the emails you received through ONLY your SUNY Rockland email address. You can set up your SUNY Rockland email account to receive emails from your other non-RCC account by adding the email address through Settings – Accounts Tabs – Get mail from other accounts.
When someone replies to your original message, it creates a thread known as Conversations. Replies are displayed in one place, in date order, making it easier to follow the context of a message. When you open one message in a conversation, all of your related messages are stacked on each new message stacked on top of the old messages. This is also known as the Conversation View. Settings – this is where you can customize your RCC Google Apps Mail account. Setting up filters; Creating Labels/Folders; Forwarding Emails; Customizing Web Clips, Chat; and adding other features to your account.
Search Box – You can use Google search within your RCC Google Apps Mail account to find the messages you want. This is very useful especially if you have a large amount of messages in your Inbox.
Web Clips – Web Clips show you news headlines, blog posts, RSS and Atom feeds and relevant sponsored links, right on top of your inbox. Each clip displays the source from which it was received, how long ago the clip was published, and a link to access the entire story or page containing the clip. You can scroll through the clips but clicking on the < or > arrows located at the far right of the Web Clips row. You can also customize your web clips by going through Settings – Web Clips Tab.

"More Actions" Drop Down Box – contains actions that will be applied to messages that are indicated by checking the box next to the message.You can mark messages as read, and unread. Starred messages that are important; Create or Apply Labels; or create an event.
Contacts – this is basically your online address book.All your email contacts are stored here. You can create, edit, delete and search for contacts. You can also create, edit or delete contact groups or mailing list. This should not be confused with our current Mailman Mailing list. This feature is included in Google Apps Mail for added convenience in sending emails to numerous contacts without typing each individual contact. You can also import or export your contacts to and from other address book.

Chats – this feature allows you to instant message people within Google Apps Mail. Before you can chat with someone, you’ll need to invite them. Until they accept, you’ll see Invited next to their name in your Contact list.

Labels – labels are similar to folders but do more: you can add more than one label to a message. Once you’ve created a label, you can view all the messages with that label by searching, or clicking on the label name along the left side of RCC Google Apps Mail page. Removing a label doesn't delete the messages previously categorized with that label.

Archive Button – button that allows you to move messages out of your inbox and into All Mail, a storage place for all the mail you’ve ever sent or received but have not deleted.This allows you to clean up your inbox without deleting anything. If someone responds to a message you’ve archived, the conversation containing the message will reappear in your inbox. To archive messages, select message(s) by checking the box next to the message and click on the Archive button.

All messages that are deleted are sent to Trash. These messages are permanently removed from Google Apps Mail 30 days after you send them to Trash. So if you’ll need a message in the future, it is recommended to use the Archive feature.

Mailbox Capacity – or Quota Indicator, indicates how much storage you have used on your RCC Google Apps Mail Account.When this tutorial was created, the Google Apps Mail’s free storage is up to 7 GB and they are adding more space. If you approach your storage limit, the indicator will change from green to red. If you go over your limit, incoming messages to your account will be returned to the sender.If you've hit your limit and need to clear space, you'll need to move messages to Trash and permanently delete them from there.

Activity Indicator – this feature, located at the bottom of your Google Apps Mail page, provides information about the last activity of your mail account including the times that your mail was accessed using web browser, or from a mobile device. It also includes the IP address from which your mail account was access. This is useful when you feel like your mail account has been compromised. This feature will also indicate whether your mail is currently being accessed from another location and you can sign out other sessions by clicking Sign out all other sessions.
